Study Abroad Manager (SAM) Purchasing Process

The purchasing process for the Study Abroad Manager (SAM) software platform provides a great deal of flexibility, allowing our teams to determine how best to meet the needs of your organization or institution. No matter the size of your department or the specificity of your needs, we will work together to determine the most cost-effective solution.

  2. Determine What Needs to be Purchased

    SAM is offered as both an installed and hosted (SaaS) solution, where your needs determine which is best for you.

    We also suggest discussing SAM with other communities to discuss whether any costs can be shared, or if additional installation or integration policies may be required.

  3. Deploy or Install

    For the hosted solution (SaaS), we will deploy within 48 hours after purchasing the license

    For on-site installations, we will schedule time for a SAM technician to install and configure an instance of SAM at your university, institution, or organization’s preferred location

  4. Integrate & Train

    Integration will begin immediately upon purchase of a license, and online or on-site training will be scheduled as determined by your timetable.

  5. Launch

    Once integration and training are completed, you are ready to go live!

Installation and Integration

The additional installation and integration policies defined in the following sections are compartmentalized services that may be purchased along with the SAM software license. All installation and integration policies are optional, and additional policies may be created specifically for your organization or university upon request.

On-Site Installation

The On-Site Installation Policy allows for a SAM technician to provide the services defined in Installation Process at the location of your organization or university.


Online Training

Training is provided to organizations and universities upon purchasing a software license for SAM. Training begins with an initial meeting where our teams will schedule the training sessions, as well as determine if the sessions need to be expanded or refined to address any additional needs that may exist.

The initial meeting is held, and the training sessions are conducted, in our online meeting space where video, audio, and content may be freely shared between screens and participants.

We strongly suggest that the lead system administrator and lead process manager attend the initial meeting and training sessions; i.e. senior IT staff, directors and associate directions, program administrators, and so on.


On-Site Training

The On-Site Training Policy (OSTP) allows for a SAM representative to provide the services defined in Online Training at the location of your organization or university. Note that OSTP may only be purchased for those who have a license for Premium SAM.


Security Audit

The Security Analysis Policy (SAP) allows for a SAM security specialist to conduct extensive analysis and testing on your servers. Issues or concerns discovered through testing will be resolved by our team as we work together to secure your infrastructure before installation and deployment of the SAM software platform.


Data Integration

By default, SAM provides spreadsheet templates for importing and exporting information. If the existing import and export functionality does not provide users with enough functionality to gracefully integrate legacy data, purchasing a Data Integration Policy (DIP) will provide a SAM data technician to the organization or institution to conduct the work necessary for legacy data integration.


Feature Development

The Feature Development Policy (FDP) allows organizations and universities to purchase development hours that contribute directly to extending SAM’s functionality. The Feature Development Policy is priced according to the number of development hours necessary to extend the SAM platform, as well as how quickly the extended functionality needs to be integrated.


Systems Integration Assessment

The Systems Integration Assessment Policy (SIAP) allows our teams to work together and identify which applications and systems require integration, as well as which may be combined or ignored in order to help you save time and money. SIAP is a great first step for any organization or university that requires thorough analysis of a large number of applications and systems that need to be integrated into SAM.


Systems Integration

The Systems Integration Policy (SIP) allows organizations and universities to request specific integration and interaction with institution specific applications, processes, and authentication protocols. Note that each integration requires its own policy, and viability and feasibility of integration needs to be verified by our technicians before a policy may be purchased.


Graphic Design Integration

The Graphic Design Integration Policy (GDIP) allows organizations and universities to request modifications to the SAM interface itself, such that the look and feel, color scheme, and general aesthetic of the public portal and private administrative interfaces are modified graphically to match existing sites or interfaces, or simply have a different look and feel altogether.


Hosted Solution

Study Abroad Manager (SAM) Hosted Solution (SaaS)

The Study Abroad Manager (SAM) Hosted Solution (SaaS) provides an instance of SAM through our dedicated, secure servers, such that installation on university equipment is unnecessary. Both Basic SAM and Premium SAM may be provided as a hosted solution.

  1. Are there any fees associated with the Hosted Solution (SaaS)

  2. Yes, there is a $19.75 fee per registrant for hosted instances of The Study Abroad Manager (SAM) software platform.

  3. Where is SAM hosted

  4. Regions and endpoints are selected and ordered based on university and organization location, such that availability, reliability, and latency are all addressed intelligently, directly.

  5. Where will our data be stored

  6. Your data is stored and backed up across multiple secure, remote data centers, the primary being managed directly by Black Box Abroad to ensure business continuity.

  7. What type of business continuity and disaster recovery is in place

  8. Automation systems allow for easy spin-up of instances and full replication of data on competing platforms. Data is replicated to multiple availability zones which allow for redundancy, and quick recovery if any zone experiences downtime.

  9. How is security managed

  10. Security groups are in place for every hosted instanced of SAM, and Secure Shell (SSH) access is only used by individuals granted explicit access to the hosted instance itself. All of your data, as well as your software, will remain safely behind multiple layers of security, each of which satisfies HIPAA, FERPA, SOC1-3[ISAE 3402/SAS70], and PCI DSS L1.

  11. Can we integrate our AD/LDAP with SAM

  12. AD/LDAP integration is provided as a configuration option with the SAM software platform and hosted solution. Traditional authentication is also provided by default if your university or organization would rather manage credentials internally.

  13. Can we access our data directly

  14. At any time, universities and organizations may export their data in XLS/CSV format, request *.sql database dumps of their information, or have verified internal staff access their hosted instance and export the data if need be.

  15. Do you charge for upgrades

  16. Universities and organizations are provided with the ability to upgrade their SAM software license to the latest version of the software platform on an annual basis.

  17. What browsers are supported

  18. Current version releases of Internet Explorer, Firefox, Opera, Chrome, and Safari.

Software License

Basic SAM Software License

The Basic Version of SAM is intended for use by smaller organizations, universities, and single departments or programs. SAM Basic is only available as a hosted solution (SaaS), and provides the following functionality:

Premium SAM Software License

The Premium version of SAM is intended for use by larger organizations, universities, risk management agencies, or entities that require holistic reporting, analytics, and tracking of participants. Premium SAM provides the following functionality:

  3. Risk Management
  4. Advanced Reporting
  5. Integrated Analytics

Software Upgrades

The software license provides access to annual version upgrades comprising the latest features from our road-map and feature requests from the community that have been implemented and integrated during the previous year. Upgrades are provided as installable packages with step-by-step installation instructions in the online technical documentation. Additionally, our Support Policy allows universities and organizations to request for a SAM technician to upgrade on-site installations directly.


Security Updates

Similar to software upgrades, security updates may be downloaded and installed by your own technicians. Security updates will be released immediately upon discovery of new exploits or vulnerabilities in existing open-source frameworks and languages such as Apache, PHP, Python, Java, MySQL, and so on. Purchasing our Support Policy allows universities and organizations to request for a SAM technician to integrate security updates into on-site installations directly.

Note that all universities and organizations who have deployed on-site installations and have an active Software License will be contacted by a SAM representative immediately upon release of each and every Security Update, regardless of whether or not they also have purchased Support Policy .
